Outlook For Mac Search Loading Old Emails First
Got a weird one. For whatever reason, some MS patch backfired and now when approx. 75% of our users use the 'search' feature in Outlook, it does not search the latest emails they've received. It will show results from about two weeks ago, but nothing newer than that. If they clear the search window and just view their inbox, the emails are visible and accessible. I've tried checking/re-checking their view options, and they aren't somehow filtering for old emails or sorting by date backwards or any other likely culprit. I've tried running the 're-index' option in Outlook but that doesn't work.
Outlook searches based on the order the messages were inserted in to the PST file. If you have 9000 emails (like I do) you have to wait until Outlook scans the old and uninteresting messages before Outlook will start surfacing the more recent messages. This keeps Outlook search fast, but quickly arriving at the wrong answer doesn't help anybody.
I assume this has something to do with how the emails are indexed/stored on the Exchange server vs. What's displayed in their inbox, but I am very far from an Exchange guru and so don't know what else to do beyond what I've tried. Two final notes: 1.
This MIGHT have something to do with KB3114409 which was deployed a couple of weeks ago, and then rolled back. This was a 'critical' patch from MS that caused Outlook to open in safe mode. I've rolled that patch back but it might have left a residual issue.
I have not yet tried to run a 'repair' of their Office installation. I have also not yet tried to remove / re-add the data file in their 'Mail' settings in Control Panel. Is it likely that these steps would help or is this just a waste of my time? Mac printing apps for chrome. Have you checked for any Outlook addons?
Also I find if other programs also have their own indexing it's good to disable that (e.g. Nuance PDF Converter). But last time I had this sort of issue I tried everything from rebuilding the search indexing, re-building the profile and re-installing office. In the end the only solution that worked for me was creating a new local user profile.
Have you tried creating a text user account, logging in and syncing an Outlook profile to it for testing purposes? Also what version of Exchange and patch level do you have? Sounds like a corrupt/incomplete search index.
Check indexing is finished: In Outlook, click in the Search box.Click the Search tab, click Search Tools, and then click Indexing Status. When the Indexing Status dialog appears, you should see the following: Outlook has finished indexing all of your items. 0 items remaining to be indexed. If indexing says it is complete - try this: To rebuild the catalog, follow these steps: • Quit Outlook.
• Open the Indexing Options in Control Panels. • In the Indexing Options dialog box, click Modify, click to clear the check box next to Outlook, and then click OK. • In the Indexing Options dialog box, click Advanced. • In the Advanced Options dialog box, click Rebuild. Let it rebuild, then check Outlook indexing back on. More / full details here.
